Winterslow Parish Plan Steering Group
Tuesday 10th November 2009

1. Apologies: Mick Brown, Penny Fooks, Caroline Henderson, Mike Taylor, Janie Melhuish.
2. Tim said he had visited Mick, who is now out of hospital, and he was hoping to attend the next meeting in December.
3. Minutes of the last meetings –
8th September meeting –
· the tennis tournament had not taken place
· Childrens’ questionnaire –Paula has finished the questions and the questionnaire should take place in November as planned – Paula will see the Head this week.
· Business questionnaire – Debbie said she thought this was on a different timescale to the general questionnaire – Tim said it should be completed before the main Parish Plan publication, and a meeting should be arranged with Mick and Debbie. Julie is on standby to print the questionnaire.
6th October meeting – there were no outstanding issues.
4. Matters arising
- Debbie said she had seen a Laverstock and Ford newsletter which mentioned the Southern Area Board and said that Tom Bray, a Community Officer, can be contacted with regard to additional funding for developing the Parish Plan – through www.wiltshire.go.uk, this could help raise the profile of the Plan generally. Ian said he would try to get a copy of the newsletter and scan and send it to Tim.
5. Review of questionnaires
- Tim asked all present to give a brief report on the distribution and collection of questionnaires – some people had finished their collections and some were still underway. Tren said that lists covering 448 had been returned (90 are outstanding), 358 have been analysed and there are currently 14 blanks. So far 79.91% have been returned. The original projected final figure was 85% of questionnaires to be returned. Tim said that if these figures were indicative of the final count then the figures are looking good, and that it was important to contact people who still have their collections to make – by December all the questionnaires should be back. Hopefully all the data will be in by the 30th November so we can have a full picture by then. Tim thanked Tren for the spread sheet he had designed, which had made it easy for everyone to analyse their results. If people are having difficulties logging all their results Tim is available to give some help.
- A short discussion followed about the lack of individual response to the questionnaires – most households had replied as a single entity and we will have to be aware of this when presenting the results.
- It was noted that there was not much response to the education questions and it was thought that not many questionnaires had been collected or analysed from families with younger children as yet, which might alter the final outcome.
6. Review of timeline for project
Tim had discussed this with Mick – the roadshow has now been postponed to late January, perhaps February. Mick had agreed to discuss this on the 8th December meeting.
7. Roadshow - see above. There has been no correspondence.
8. Finance update – Ian said the Plan was in good financial health, the current credit balance is £1,063.82. Brian said we had received £230 from the Lion’s Head – gratefully received. In regard to the final printed PP, it was presumed that it will be available on the village website and there will be “official” copies and then simpler ones to be circulated in the village.
9. Parish Council Matters - Tim has spoken to the Chairman to confirm that the SG would to meet with the PC before the roadshow next year.
10. Any other business –
- Clive said he knew of a volunteer who wanted to join the business group.
- Brian said there is a Southern Area Board meeting on the 17th December, but he was not sure of the location – Debbie said she would go with him.
- a youth club is to be started at Barry’s Fields
- a leaflet about Movies on the Doorstep was circulated from Caroline Port and it was mentioned that she has managed to obtain £25,000 for play areas.
- Tren asked about certain addresses and names he had been given of houses where questionnaires have not been delivered – Tim said he and Tren would get together in early December and try to mop up any missing households and would mention this in the December parish magazine article.
- Betty said she had heard that the Seniors need help putting chairs and tables out and Debbie suggested they advertise this need in the parish magazine.
11. Date of next meeting – the next meeting will be on the 8th December at 7.30 pm. in the Pavilion.
