Winterslow Parish Plan Steering Group
Tuesday 6th October 2009

1. Minutes of the last meeting - Brian asked about Item 12 - the children's questionnaire. Debbie said the questions (probably 10) were in preparation, the school has been very supportive and is keen to cooperate. Years 5 and 6 will be asked to fill in the questionnaire before the Christmas preparations start.
2. Saturday 3rd October meeting - Tim thanked everyone for helping on Saturday morning and assembling the questionnaires. He informed everyone about Mick's progress, he is expected to be in hospital for some considerable time. Tim will be acting Chairman in Mick's absence - his phone number is 862048.
3. Distribution of questionnaires - the questionnaires and address lists are now available for distribution, timetable as follows:-
Hand out of questionnaires to deliverers - 6th October
2 week period for distribution
Questionnaires to be collected by 31st October.
Some issues arose from the forthcoming distribution of the questionnaires:-
- The "spare" boxes would be taken to the people who had offered to distribute the questionnaires;
- Debbie asked about what we should do when the questionnaires come back to us - Tim said we have plenty of time to plan our strategy - Tren is preparing a programme to collate all the information. Debbie asked if we can do this individually as it will be quicker - Tren said by the end of next week (17th October) the document should be ready. Any comments on the questionnaires will be sorted into similar responses.
- Judy Weston was mentioned as a possible helper in the gathering of data; Vicky said she would contact her and see if she could help.
- Tren said he needs a list of the names of people visiting houses and the total number of questionnaires they have given out (Tim - this point doesn't seem to have been followed up in the meeting - does he need this info. when we return our questionnaire answers to him?)
- We discussed numbering the questionnaires and it was felt that this was unnecessary - as we work through the answers when entering them into Tren's document online. We should just strike through each questionnaire with a felt pen to prevent duplication of data. If we are asked about the "unique number" on the questionnaire we will say it's an error and will not be used.
- On page 2 we are to cross out Mick Brown's name and phone number and enter our own.
- Tim suggested that we ask people to read the instructions on the questionnaire carefully before filling it in, and then it should be easy.
- Penny said the response would probably be about 33%.
- It was suggested that we tick our lists of households as we give out the questionnaires and then record the number returned on the bottom of our "household" list at the end of collection.
- Debbie asked if we could find out what methods/strategies/programmes other parishes have used to collate information.
- Richard Britton on the Southern Area board will help with any queries we have.
4. Date and time of next meeting
The next meeting will be held at the Pavilion at the Recreation Ground at 7.30 pm. on Tuesday 10th November.
